Thank you for visiting Reflect Screening Services Limited. Your privacy is important to us. To better protect your privacy, we provide this notice explaining our policy within this area. Please print a copy of this statement for your personal records. If you do not agree to the terms in this Policy, we kindly ask you to leave the site.
Welcome to Reflect Screening Services (RSS) website security statement.
First of all, RSS do not collect any personally identifiable information from people entering the 'public' areas of our site. (That's the ones that you can surf and look around without need for a password).
Once you become a registered user of RSS (You have been issued with a RSS username & password) your personal medical information may be stored on this site and as such processing and access to your information will be in accordance with the Data Protection Act 1988.
We use standard industry practices, including encryption, passwords and physical security, to protect your privacy, identity & personal information against unauthorised access and disclosure, see the ‘How we protect you’ section. However, you must understand that the use of the Internet, private networks (home/public wireless etc) and mobile communications are vulnerable resources and third parties may unlawfully intercept or access your transmissions or private communications for malicious intent. Therefore, you ‘the user’ must also ensure that you endeavour to protect yourself as best you can, see the ‘How to protect yourself’ section. Note: although we work very hard to protect your privacy, we do not promise, and you should not expect, that your personal information or private communications will always remain private.
How we protect you
Identification
For a start, we use usernames and strong passwords to make sure we're dealing with you and only you. Online access to your information is only possible once you have verified yourself using your RSS username & password. For this reason it is vital that you do not share your password and try not to use the same password for other services.
Passwords
Passwords must be a minimum of 8 characters in length and be of a complex nature; they must contain a combination of 3 of the following:
• Uppercase (A-Z)
• Lowercase (a-z)
• Numerical (0-9)
• Special Character (& * $ etc)
Passwords must be changed every 60 days, if you are within 7 days of expiry when logging in you will be prompted to change your password.
Automatic lockout
For your security, after a number of incorrect attempts to log in, we disable online access to your RSS account. To re-activate your account, just give us a call on 0845 652 1965 (note office hours are 9.00am – 5.30pm Monday to Friday).
Logs & Audits
All data entered onto the system is logged and date/time stamped against the username and computer IP address accessing the data set (Your account). If information is added or amended automated email alerts will be generated and sent to the registered email address.
Secure sessions
When you log into RSS, you are in a secure, encrypted session. This should be clear because the web site address begins "https://" and a closed padlock symbol will be displayed next to the address or in the lower right hand corner of your browser.
Encryption
Encryption converts data into an encoded form before it's sent over the Internet. It stops unauthorised users from reading the information. RSS’s use of SSL Certificates ensures that all access to the application is conducted over a secure encrypted channel, subsequently; all sensitive data held in the system will be protected by means of the SSL encryption.
Session time-out
If you forget to log-off or your computer remains inactive for a period of time during a session, then our system automatically logs you off.
Technology
We use many layers of security - for obvious reasons we will not disclose all of them but we typically use the following:
• All our operating systems are immediately updated with the latest security patches.
• Our anti-virus software is updated minute by minute.
• Our systems have firewalls to prevent unauthorised intruders.
• Our servers are located within secure monitored environments
• Our staff are both trustworthy and reliable.
How to protect yourself
Identification
• Do not disclose your unique RSS online username or password to anyone else.
• Do not write down your username or password, if you must make a copy of your RSS credentials, store them separately in a safe place; Do not store them on your computer.
• Do not allow anyone else to use your RSS account.
Passwords
• Ensure that you change your password promptly when requested.
• Try to choose a password that is easy to remember, but difficult to guess (Try to avoid close relatives names and dates etc).
• If you believe that your password has been compromised, change it immediately and email a member of our administration team info@reflectscreening.com
Internet Access
• Always use a trusted Internet connection.
• Avoid using unknown/unsecured WiFi access points (Hotspots).
You’re Technology
• Ensure your system has up to date anti-virus installed and running.
• Protect yourself from intruders - Try to operate from behind a firewall, or install a software firewall on your system.
• Make sure your operating system is updated with the latest security patches.
• Regularly delete ‘Cookies’ & ‘Temporary Internet Files’.
